Job summary

Red Hat's Global Workplace Solutions (GWS) team is looking for a Receptionist to join us in Grasbrunn, Germany. In this role, you will support office administration and coordination, global facilities programs, events, and more. You'll serve as an important point of contact for associates, customers, vendors, and other visitors to our office, so you'll need great customer service and communication skills.

Primary job responsibilities

  • Serve as the first point of contact for and interact continuously with customers, guests, and vendors, providing the first impression of Red Hat
  • Direct visitors and customers, assist with the requests of associates, and manage incoming phone calls for the office and shared regional phone queue
  • Coordinate messages, appointments, information to callers, and file maintenance
  • Inspect the front-of-house area and meeting rooms daily to ensure all equipment is running effectively
  • Manage visitor log and company area to comply with workplace health, safety, and environmental policies and laws
  • Coordinate the shipping of boxes and letters to and from the office
  • Provide temporary badges, take badge photos, and distribute badges for new hires
  • Resolve regional tickets
  • Provide support for inventory, supply stocking, and ordering of shared office supplies in accordance with department programs
  • Use company network and other computer-based systems; update local office webpage
  • Monitor and track local and regional GWS ticket queues and ensure resolution of any assigned tasks in a timely manner
  • Provide visitors with information regarding recommended local hotels and transportation if needed
  • Assist and support GWS initiatives for the local office, including global or regional programs as mandated by law or guidelines like the Safety Warden Program, Ergonomics, Snack and Drink, or Information Sharing and Analysis Center (ISAAC)
  • Assist and support local physical security system and follow global security policy
  • Assist in the coordination of catering and other requirements for on-site events like training or customer events
  • Assist with minor room setup of the front-of-house area
  • Provide assistance on assignments that are semi-routine in nature, but require occasional deviation from standard tasks

Required skills

  • Ability to deliver exceptional customer service
  • Solid written and verbal communication skills in German and English; professional business appearance at all times
  • Attention to detail; extensive experience in related areas and advanced skills in developing systems and processes for smooth office operations
  • Motivated with the ability to work in a team with little direct supervision; positive attitude toward resolving challenges
  • Ability to use office applications and willingness to learn new tools and resources
